How to choose between custom software and targeted automation.

Not every operational problem needs a large application. Sometimes targeted automation is enough; in other cases custom software is the right choice.

Start from the problem, not the technology

A good decision starts with simple questions: who loses time, where errors appear, what data is missing and what happens if the process remains unchanged. If the problem is limited to a repetitive step, targeted automation may be enough. If several teams work in the same flow, custom software becomes more relevant.

When targeted automation is enough

Targeted automation makes sense when rules are clear, inputs are predictable and the result is repeatable: reports, notifications, validations, exports, imports or synchronization between two systems. The advantage is speed: manual work can be reduced without redesigning everything.

When custom software is worth it

Custom software is worth it when the process is central to the company, involves several users, needs access control, history, approvals, dashboards or integration with multiple systems. In this case, isolated automations can become hard to maintain, while a custom web application or a dedicated portal brings the workflow together.

A pragmatic approach

Often the best path is progressive: automate the part with immediate impact, measure the result, then decide whether it should become a broader internal application. This reduces risk and avoids large projects built on assumptions.
